This page turns the series’ research notes into a practical guide for reading, sourcing, fact-checking, and eventual audiovisual clearance.

Research access is not production permission. A digitized image, online film, catalog record, or public web page may be available for viewing while still requiring permission for public reproduction, adaptation, distribution, or commercial use.

Core principles

Confirm the item

Rights differ among items in the same repository. Record the exact title, creator, date, collection, item ID, and URL.

Separate the layers

A public-domain film may have a copyrighted restoration, score, subtitle track, colorization, scan, or upload.

Read archives critically

Police, court, medical, propaganda, and exposé records document systems of power as well as the people they describe.

Consult custodians

Work with community archives and living custodians, especially for marginalized, colonized, displaced, Black, and transgender histories.

Relationship evidence standard

Evidence level	Editorial use	Do not infer from
Documented partnership	State directly when reciprocal correspondence, shared household/business evidence, legal documentation, or strong scholarly consensus supports it.	A single photo or a shared address alone.
Strongly supported intimacy	Attribute and qualify substantial but incomplete or contested evidence.	Costume, role, or fan interpretation.
Documented attachment or friendship	Describe affection, mentorship, friendship, or one-sided desire without making a sexual claim.	A queer reading of fiction or performance.
Rumor or later speculation	Omit unless the history of the rumor itself is necessary; never state it as fact.	Studio gossip, publicity photography, or later assertion alone.

Minimum clearance log

Field	Record
Asset	Title, date, creator, original item ID, and repository.
Rights layers	Underlying work, digital copy, restoration, captions, score, recording, performer, and any master owner.
Rights basis	Public-domain analysis, license, permission, contractual terms, or fair-use analysis.
License scope	Media, duration, territory, platforms, language versions, marketing, social media, and derivative uses.
Credit and restrictions	Exact attribution, cropping/colorization/subtitle limits, exclusivity, embargoes, and community conditions.
Fact support	Exact claim, supporting source, page or timecode, confidence level, reviewer, and review date.
